The challenge

The clinic had a WordPress website and a separate, monthly-paid booking tool, and the two didn't talk to each other. Clients typed in their details every time they booked, and the owner kept bookings, client notes and payments in different places. He wanted one system, built around how he actually works, that the business owns outright.

What we built

• A new website with a calm, premium design, quick to load and easy to use on a phone.
• Online booking: clients pick one or more treatments and see only the times that are genuinely free, allowing for working hours, breaks, days off and preparation time. Two people can never book the same slot.
• Client accounts to see upcoming and past appointments, and to reschedule or cancel within the clinic's rules.
• Card payments through Stripe: the owner chooses in his dashboard whether clients pay on the day, choose for themselves, pay a deposit or pay in full. Cancelling in time refunds the client automatically.
• Automatic emails: booking confirmations with calendar invites, reminders before each appointment, and an instant alert to the clinic for every new booking.
• An admin dashboard with a week-by-week calendar, client records with digital intake forms, session packages, a record of every email sent, and editable website content.
• Client reviews in a swipeable carousel, with Google reviews brought in automatically.
• Installable as an app: the website and the dashboard can both be added to a phone's home screen.

Moving a business without losing anything

We brought across the clinic's whole history from its previous booking platform: treatments, client records, years of past appointments and every client review. Existing clients keep their history and are invited to set up their new account with one click.

• Secure client accounts with email confirmation, and separate access levels for staff.
• Card details are entered on Stripe's own secure page and never touch the website.
• More than 330 automated tests check the booking rules, payments and security on every change.
